Privacy policy

What we collect, why we collect it, who we share it with and the rights you have over your information.

Last updated: August 2026

This policy explains what personal data we collect when you use this website or make a funding enquiry, why we collect it, how long we keep it and the rights you have over it. The data controller's registered details, registration number and Data Protection Officer contact are to be supplied before publication.

Who we are

UKCapitalFund operates this website and processes funding enquiries submitted through it. Registered company name, company number, registered office address and ICO registration number are to be supplied and will appear here once confirmed.

If you have a question about this policy, contact us using the details on our contact page.

Information we collect

Uploaded documents are held in private, access-controlled storage. Only authorised UKCapitalFund staff can open them, using links that expire after a short period.

  • Contact details you give us: name, business name, email address and telephone number.
  • Business information: trading history, turnover, funding amount and purpose, and details of existing commitments.
  • Verification documents you upload: passport or national ID card, business documents such as incorporation or accounts, and business bank statements. These are collected to confirm identity and assess funding eligibility.
  • Technical data: IP address, browser and device details, referring website, campaign parameters, language, time zone and pages viewed. This is recorded for security, fraud prevention and to understand how enquiries reach us.
  • Communication records: notes of calls, emails and messages between you and our team.

How we use your information

  • To assess a funding enquiry and discuss options with you.
  • To carry out identity, fraud and creditworthiness checks where relevant, having told you beforehand.
  • To communicate with you about your enquiry or an existing arrangement.
  • To meet legal, regulatory and record-keeping obligations.
  • To improve the website and understand how it is used.
  • To send marketing communications where you have agreed to receive them.

Our lawful bases

We rely on contract where processing is necessary to provide a service you have asked for; legitimate interests for assessing enquiries, preventing fraud and improving our service; legal obligation for compliance and record keeping; and consent for optional marketing and non-essential cookies. You can withdraw consent at any time.

Sharing your information

  • Funding providers and partners involved in assessing or providing your funding, where you have asked us to explore options.
  • Credit reference and fraud prevention agencies, where a check is carried out.
  • Technology suppliers who host and support our systems under written agreements.
  • Professional advisers and authorities where we are required to disclose information.

Credit searches

We will tell you before any credit search is carried out and explain what type of search it is and its likely effect on your credit file. We do not carry out searches without telling you first.

How long we keep it

We keep enquiry and application data for as long as needed to provide the service and to meet legal and regulatory record-keeping requirements, after which it is deleted or anonymised. The specific retention periods for each category of data are to be supplied and will be published here.

International transfers

Where a supplier processes data outside the UK, we put appropriate safeguards in place, such as the UK International Data Transfer Agreement or an approved addendum to standard contractual clauses.

Your rights

  • Access a copy of the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete data.
  • Ask us to delete data where there is no continuing reason to keep it.
  • Object to or ask us to restrict certain processing.
  • Ask for your data to be transferred to another provider where applicable.
  • Withdraw consent for marketing at any time.
  • Complain to the Information Commissioner's Office if you are unhappy with how we handle your data.

Security

Access to personal data is restricted to people who need it, data is encrypted in transit, and documents you upload are stored in access-controlled systems. No online service can be completely secure, so we also ask you not to send sensitive documents by unsecured email.

Changes to this policy

We may update this policy as our service or legal obligations change. The date at the top shows when it was last revised.
